Here are FAQs and info to help your event to run smoothly:
what needs planning?
Clare will be able to execute the best event when, well in advance:
There is 1 key organiser to deal with by phone and email.
A clearly defined audience and need is established.
If agreed, supply participant emails promptly to send an ‘input survey’ for them to contribute their needs to the agenda.
Content keypoints are confirmed.
The location is confirmed on booking.
A purchase order is supplied prior to the event, payable to Wildfireworks Ltd + VAT, as per the quote given.
Expenses are agreed in advance.
Where needed, prior overnight accommodation (Premier Inn or equivalent) is agreed or provided.
Parking is confirmed.
THE ROOM HAS:
Lots of natural light.
Double the space per person usually expected for meetings (to move around).
Flip chart stand and at least a 20-page pad.
Wall/window space, plus use of masking tape/blu-tack agreed.
Toilets within 3 minutes’ walk.
Preferably a wall clock (although this is unusual in many venues).
Breakout areas where possible.
Outdoor space is fantastic but not essential.
WHAT’S NEEDED ON THE DAY?
To ensure smooth-running:
✔ Access to the venue between 2 hours and 75 minutes prior to the event.
✔ Access to the room at least 90 minutes in advance.
✔ Where possible, minimal tables or placed to the periphery/alongside walls of the room.
✔ Seating in a horseshoe (or 3/5-chair crescents for groups more than 20).
✔ Catering provided 5 minutes prior to break times.
✔ Brain-friendly menus consist of: Lower carb/higher protein; low sugar/more fresh fruit; less processed/more fresh ingredients.
✔ Preferably Tea/coffee/water on-tap or at regular (agreed) intervals.
✔ The room temperature should be maximum 20 degrees Celsius to keep the audience comfortable and alert for learning.
WHAT ADVANCE INFORMATION DO YOUR TEAM NEED?
To help the participants prepare: .
1. Get into diaries ASAP:
The venue
The title of event
The timing - with a note to allow travel if necessary
2. Prep packs
Provide the email addresses of your team and they’ll receive a prep pack directly up to a week beforehand.
The pack usually takes around 15 minutes.
It has the objectives, what to expect, access to the facilitator in advance and some thinking-in-advance to engage them and prepare their minds ready to get started on the day.

Follow Up:
The team receive images of the session/s.
When agreed, a weekly diary printable is emailed, to review their learning, for a month or longer.
Participants have unlimited access to ‘quick-coaching’ after the event to keep it alive and to be brave enough to use their learning.
An anonymous survey is emailed after the event, and compiled to share overall results with participants and managers, as appropriate.
